Privacy Policy

Synk MGA ("Synk," "we," "us," or "our") provides an underwriting operations platform for managing insurance program business ("Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to MGA staff, underwriters, and retail agents who use the Service ("you," "Users").

1. Information We Collect

Account information. When you or your organization signs up, we collect your name, work email address, agency or company name, role, and a securely hashed password. We never store passwords in plain text.

Submission and underwriting data. The Service is used to process commercial trucking insurance submissions. This can include company/DOT information, fleet and driver details, loss history, financial information, and related documents (loss runs, applications, MVRs, schedules) that you or your organization upload or that are submitted through the platform.

Communications. Messages sent between retailers, underwriters, and carriers within the platform, and emails processed through our inbound intake and notification systems, are stored and associated with the relevant submission.

Payment information. If your organization subscribes to a paid plan, billing is handled by our payment processor, Stripe. We do not store full credit card numbers on our own servers.

Usage data. We automatically collect standard technical information such as IP address, browser type, device information, and pages visited, to keep the Service secure and improve it over time.

2. How We Use Third-Party Service Providers

We rely on a small number of trusted providers to operate the Service. Each only receives the data necessary to perform its function:

  • Cloudflare (R2 storage) — stores uploaded documents (applications, loss runs, schedules, etc.).
  • Resend — sends and receives platform email, including notifications and the inbound submission intake mailbox.
  • Anthropic — powers "Ask Synk" and related AI features that read and summarize submission documents and data to assist underwriting. Submission content may be sent to Anthropic's API for this processing.
  • Stripe — processes subscription payments. Stripe's own privacy practices govern the payment data it collects directly.
  • FMCSA (Federal Motor Carrier Safety Administration) — a U.S. government data source we query using DOT numbers to retrieve publicly available carrier safety and registration information. This is public regulatory data, not information we collect about you personally.

We do not sell personal information to these or any other providers, and we do not permit them to use your data for their own independent marketing purposes.

3. Multi-Tenant Data Isolation

Synk MGA is a multi-tenant platform: multiple MGAs and their agents may use the same underlying system. Each organization's submissions, documents, and communications are logically separated and access-controlled so that one organization cannot view another organization's data. Retail agents can only access submissions they are associated with, and only within the MGA network they've been connected to.

4. How We Use Information

We use the information described above to:

  • Operate the underwriting workflow: routing submissions, tracking status, generating quotes
  • Enable communication between retailers, underwriters, and connected MGAs
  • Power AI-assisted features like document summarization and risk scoring
  • Verify carrier information against public FMCSA records
  • Process subscription billing
  • Maintain platform security, detect abuse, and troubleshoot issues
  • Communicate with you about your account or the Service

5. Data Security

We use industry-standard safeguards including encrypted password storage, signed session tokens, and role-based access controls to protect your information. No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable steps to protect data against unauthorized access.

6. Data Retention

We retain submission and account data for as long as your organization maintains an active subscription, and for a reasonable period afterward to comply with legal, insurance recordkeeping, and audit obligations. You may request deletion of your account data by contacting us, subject to any retention required by law or active insurance regulatory obligations.

7. Your Rights

Depending on where you're located, you may have rights to access, correct, or request deletion of your personal information, or to object to certain processing. Contact us using the information below to make such a request, and we will respond consistent with applicable law.

8. Children's Privacy

The Service is intended for business use by insurance professionals and is not directed to, or knowingly used by, individuals under 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify users through the Service or by email prior to the change taking effect.
